The Town of Clayton is seeking a successful and enthusiastic event planner/company to lead community planning efforts to produce the Sesquicentennial Celebration of Clayton’s founding. The position would start as soon as possible with a year-long celebration commencing on or around April 12, 2019, the date on our official 1869 Town Charter.

Under the general supervision of the Town of Clayton’s Public Information Office:

  • Performs professional work in conjunction with the Sesquicentennial Advisory Committee (SAC) in planning and implementing community-wide events to celebrate the 2019 Clayton 150th Celebration;
  • Assists the SAC in developing purpose, goals, and focus of events. Also assists the SAC in planning and implementing celebration events and fundraising activities;
  • Works with the SAC to prepare event budgets and monitors centennial celebration expenditures;
  • Schedules events, reserves facilities, and coordinates electrical needs, parking, signage,fees/tickets/deposits, police and fire support, and other logistics involved in the Town of Clayton special event permitting process;
  • Maintains the database of invitees for events, sends invitations, and attends to other related details;
  • Recruits volunteers and coordinates planning and preparation for events with participating outside groups, including (but not limited to) civic clubs, churches, schools, and other community organizations;
  • Develops marketing and promotional plans for planned celebration events; Assists with the design and ordering of promotional items to be given away or sold at celebration events;
  • Prepares and negotiates sponsorship proposals and media packets for celebration events;
  • Serves as a member of the Sesquicentennial Advisory Committee and performs other duties as assigned;
  • The Events Coordinator should be detail-oriented, a highly motivated and creative individual and able to forecast what will be needed for each event; essentially a good planner;
  • This person should also be creative in order to introduce new ideas to the SAC;
  • In addition, organization is important for keeping up with everyone’s questions and the numerous community organizations that will be planning Sesquicentennial-related events.

The flat project fee of $10,000 will be paid, with an option to extend the contract past June 30, 2019, contingent on Town Council approval of the 2019 Fiscal Year Budget.

Interested applicants should send qualifications by 5 p.m. on Monday, August 27th to info@TownofClaytonNC.org. Please include relevant experience and examples of leading multi-event, long-range celebrations. Also, must include 5 exciting event ideas you feel would be specifically fitting for Clayton’s 150th. Applicants must be available for in-person interviews afternoon of Aug 29th and morning of August 30th.
